Zoho Freemium

A 50+ app business suite where Zia AI writes, forecasts and automates inside the CRM

Zoho is a suite of more than 50 business apps — CRM, Books, Desk, Mail, Projects — with Zia AI built into most of them. Zia drafts emails, predicts deal closure, reads receipts into Books and answers questions over your CRM data. Entry plans are free; AI features sit on paid tiers.

What is Zoho, exactly?

Zoho Corporation is an Indian software company (headquartered in Chennai, founded 1996) that sells an integrated stack rather than one product. You buy CRM and you get the option to bolt on Books, Inventory, Desk, Campaigns, Analytics and 40-odd others, all under one login and one billing account.

The AI layer is branded Zia. It is not a chatbot bolted onto a sidebar; it is embedded per app. In CRM, Zia scores leads, suggests the next best deal to chase and transcribes calls. In Books, it extracts line items from a photographed invoice. In Desk, it drafts replies from your knowledge base. There is also Zia Agents (2025-2026 releases) for building task-specific assistants with triggers.

Zoho Zia product features

  • Predictive lead and deal scoring. Zia ranks records by likelihood to convert using your historical CRM data — it needs roughly 300 closed deals before the prediction is worth trusting.
  • Email and reply drafting. In CRM and Desk, Zia writes first-draft emails you edit in a composer; tone and length are adjustable.
  • Document extraction in Books. Photograph a supplier invoice and Zia pulls vendor, tax and totals into a draft bill. Accuracy drops on handwritten or non-Latin receipts.
  • Zia Agents. Build assistants that watch a record field, then act — send a reminder, update a stage, post to a channel. No code, but you do need to think through triggers carefully.
  • Cross-app data model. Because CRM, Books and Desk share one database layer, Zia can answer “which customers are late paying and also have open tickets” — something separate SaaS tools cannot do without an integration bill.
  • Voice and call intelligence. Call transcription plus sentiment tagging inside CRM records, in 20+ languages.

Product highlights

Price per seat beats most point tools if you would otherwise buy CRM, accounting and helpdesk separately. Zoho CRM’s Standard tier starts around $14/user/month billed annually; Zia capabilities surface from Professional (~$23) upward. Zoho One, the all-apps bundle, is roughly $37/user/month annual, or $90 flexible per user.

Data stays in your region if you pick the right data centre — Zoho runs DCs in the US, EU, India, Australia, Canada, China and Japan. That matters for GDPR and DPDP compliance reviews.

The interface is uneven. Apps built in the last five years (CRM Plus, Desk, Books) feel current. Older modules like Campaigns and Reports still carry 2015-era UI. Everything works, nothing is uniform.

What can you use Zoho for?

  1. Small sales teams without a RevOps hire. Lead scoring plus email drafting covers the basics a $40k ops person would otherwise do.
  2. Accounting-adjacent automation. Recurring invoices, expense capture and GST/VAT-ready Books reporting in one place.
  3. Support triage. Desk’s Zia routes tickets by sentiment and drafts first replies for agents to approve.
  4. Field sales. The mobile CRM app works offline and Zia’s visit summaries sync when signal returns.
  5. Back-office consolidation. Replacing three or four separate subscriptions (CRM, invoicing, helpdesk, forms) with one vendor and one contract.

Where Zoho Zia falls short

Zia is conservative. Its generated emails are plain and often need a rewrite if your brand voice is anything but neutral. The predictive scoring is also only as good as the CRM hygiene behind it — if your team does not log calls, the model will rank noise.

Setup is the real cost. A Zoho One deployment with CRM, Books and Desk wired together typically takes a small team 3-6 weeks, and Zoho’s own partner network exists precisely because the configuration is fiddly. If you want a tool that works in an afternoon, this is not it. If you are ready to configure, the per-seat economics are hard to beat.

Quick Summary

  • Zoho is a 50+ app business suite by Zoho Corporation; Zia is the AI layer embedded across CRM, Books, Desk and Mail.
  • Zoho CRM starts near $14/user/month annually, with Zia features from the Professional tier; Zoho One is about $37/user/month.
  • Best fit: SMBs consolidating 3-4 tools. Poor fit: teams wanting a zero-config AI assistant.
  • Zia’s lead scoring needs roughly 300 closed deals before predictions are reliable.
