How to Build Reusable Excalidraw Libraries and Teams

October 16, 2026

Once your team draws the same boxes every week — database, queue, service — you want them as reusable shapes, not redrawn each time. Excalidraw ships a library system for exactly this, and it runs without a paid plan.

This guide covers building a library, sharing it, and the self-hosting option when you need diagrams to stay on your own servers.

What is an Excalidraw library?

A library is a collection of saved shapes and elements you can drop onto any canvas. It is stored as a .excalidrawlib file — plain JSON — so it versions cleanly and can be shared over chat or a repo. The Excalidraw community publishes hundreds of these for cloud icons, UML and wireframes.

How do I create and share a library?

  1. Draw a shape (or group) you want to reuse.
  2. Select it, open the Library panel (the book icon), and click the + to add it.
  3. Repeat. Each element becomes a separate library item.
  4. Click Export to save the .excalidrawlib file.
  5. Teammates import it via the same Library panel.

For a team, keep the library file in a shared repo and re-import when it changes. There is no auto-sync on the free tier — that is an Excalidraw+ feature.

How do I clean up the sketch style for docs?

The rough filter can look too casual in a formal doc. In the canvas menu you can switch the stroke style from “Architect” to “Artist” or straight lines, and disable the hand-drawn roughness per element. For a consistent brand, set a fixed palette: pick 3-4 hex colors and stick to them across the library. Random colors are the fastest way to make a diagram look amateur.

Can I self-host Excalidraw?

Yes. The project publishes Docker images, so you can run the editor and a sharing backend on your own infrastructure.

docker run -d -p 3000:80 excalidraw/excalidraw

For shared rooms you need the excalidraw-room service alongside it. This matters for teams with data-residency rules, since the public site stores rooms on Excalidraw’s servers. Self-hosting is free but you own the updates and uptime.

What are the limits?

Real-time collaboration on the free public app is peer-to-peer and works well for small groups, but there is no persistent version history. The moment you need audit trails or roles, you are paying for Excalidraw+. Also, library items cannot be nested or parameterized — each is a static shape, so a “database” library item will not auto-resize to fit a longer label.

Quick Summary

  • Excalidraw libraries are .excalidrawlib JSON files you can commit and share.
  • Build them by selecting shapes and adding them via the Library panel.
  • Self-host via Docker (excalidraw/excalidraw) for data control; add excalidraw-room for shared sessions.
  • No free version history, no parameterized shapes — that is Excalidraw+ territory.
