How to Use AI Agents to Automate Your Project Management Workflow
Managing projects manually is tedious and error-prone. Taskade‘s AI agents can automate task creation, schedule management, and progress tracking — here’s how to set up an AI-powered project workflow.
Step 1: Create a New Project in Taskade
Log in to Taskade and click “New Project.” Choose a template that matches your workflow — options include Sprint Planning, Product Launch, Content Calendar, and Custom. Give your project a name and description.
Step 2: Activate the AI Agent
In any project, click the AI icon (✨) in the toolbar. This opens the AI agent panel. You can choose from pre-built agents like “Task Breaker” (breaks down goals into subtasks), “Project Planner” (generates timelines and milestones), or “Content Writer” (drafts content for your tasks). Select the agent that matches your needs.
Step 3: Generate a Project Plan from a Goal
Type your project goal in natural language. For example: “Launch a new SaaS product feature by end of Q3. The feature is an AI-powered analytics dashboard for enterprise clients. We have a team of 4 developers and 2 designers.” The AI agent will generate a structured project plan with phases, tasks, subtasks, suggested deadlines, and role assignments.
Step 4: Customize the Generated Plan
Review the AI-generated plan and make adjustments. You can drag tasks to reorder them, edit task descriptions, add custom tags, set priorities, and adjust deadlines. Use the AI agent to refine specific sections — “Add more detail to the testing phase” or “Suggest additional QA tasks.”
Step 5: Set Up Automated Workflows
Use Taskade’s automation features to reduce manual work. Set up rules like: “When a task is moved to ‘In Review,’ automatically notify the designated reviewer” or “When a subtask is completed, update the parent task status.” These automations run in the background, keeping your project moving without manual intervention.
Step 6: Track Progress with AI Insights
Use the AI agent to generate progress reports. Ask: “What’s the status of the Q3 feature launch?” and Taskade will summarize completed tasks, blockers, and upcoming deadlines. Switch to calendar view to see the timeline, or board view for a Kanban-style progress overview.
ProTips:
- Use the “Mind Map” view for brainstorming sessions with your team, then convert the mind map branches directly into tasks
- Create custom AI agents for recurring workflows — for example, a “Sprint Review Agent” that summarizes sprint results and generates retrospective insights
- Use Taskade’s video chat feature for quick standups directly within the project workspace — no need to switch to Zoom
