How to Set Up Fathom AI for Automatic Meeting Notes and CRM Sync with Salesforce

Fathom AI automates this entire workflow by recording your calls, generating summaries, and syncing everything to Salesforce. This tutorial walks you through the complete setup and shows you how to reclaim those hours.
Step 1: Install Fathom and Connect Your Calendar
Go to fathom.ai and sign up for a free account. Install the Fathom desktop app or browser extension (available for Chrome, Firefox, and Edge). Connect your Google or Outlook calendar so Fathom knows when you have meetings. Fathom will automatically detect Zoom, Google Meet, and Teams calls on your calendar.
Step 2: Connect Salesforce
In the Fathom settings, navigate to “Integrations” and select “Salesforce.” Authorize the connection using your Salesforce credentials. Fathom will request access to your Contacts, Opportunities, and Activities objects. Grant the necessary permissions — Fathom needs write access to create Activity records and update Opportunity fields. If your Salesforce admin has restricted API access, you may need their approval.

For example, map Fathom’s “Key Decisions” to a custom “Meeting_Decisions__c” field on the Opportunity object.
Step 4: Run Your First Meeting with Fathom
Join a scheduled Zoom or Google Meet call. Fathom will automatically detect the meeting and start recording — you’ll see a small Fathom indicator in your browser or system tray. Focus entirely on the conversation. When the call ends, Fathom will process the recording and generate a summary within 1-2 minutes.
Step 5: Review and Verify the Salesforce Sync
After the meeting, check your Fathom dashboard. You’ll see the full transcript, AI summary, and action items. Verify that the summary has been synced to Salesforce by navigating to the related Contact or Opportunity record. You should see a new Activity with the meeting summary, and any action items should appear as Tasks. If the sync didn’t work, check that the meeting attendees’ email addresses match your Salesforce Contact records.
Step 6: Customize Summaries for Your Team
Fathom lets you create custom summary templates for different meeting types. For sales discovery calls, create a template that highlights: “Pain Points,” “Budget,” “Timeline,” “Decision Makers,” and “Next Steps.” This ensures the AI summary captures the information most relevant to your sales process. Apply the template in Fathom settings, and all future discovery call summaries will follow this structure.
