Contentful is a headless CMS. You define content types as structured fields, then editors fill them in and developers pull the result through REST or GraphQL APIs. The free tier includes 5 users and 25,000 records; the Lite plan runs about $300/month.
What is Contentful?
Based in Berlin and founded in 2013, Contentful was one of the first commercial headless CMS products and is used by Spotify, BMW and Notion’s marketing site. There is no themes folder and no PHP template. The CMS part is a database plus an authoring UI; rendering is your job.
That split is the entire value proposition. It is also the reason marketing teams who just want a blog end up frustrated.
Product Features
- Content modelling with reusable field types, validations and cross-space references.
- Delivery API (REST and GraphQL) served from a CDN, plus a Preview API for unpublished drafts.
- Environments and aliases let you sandbox schema changes and promote them, analogous to git branches.
- Webhooks to trigger Next.js, Nuxt or Astro rebuilds on publish.
- Compose and Studio for AI-assisted authoring and visual preview since the 2024 releases.
- Localization with per-locale publishing, and role-based permissions down to a single space.
Product Highlights
- Rate limits are generous on paid tiers but real: the free tier allows about 55 requests per second, so a cold static rebuild can throttle.
- Editors cannot preview a page without a front-end that implements preview. That work falls on developers and is often underestimated.
- The schema is rigid on purpose. Renaming a field breaks every consumer, and there is no staging shortcut in the free plan.
- Cost climbs fast with locales โ a five-language site doubles record usage, not just user seats.
Who is Contentful for?
Teams delivering the same content to a website, an iOS app and a partner portal, especially with in-house front-end developers. Also good where content and code need separate release cycles โ marketing publishes on Tuesday, engineering deploys on Thursday.
Not for a 10-page brochure site, and not for teams without front-end capacity. A regular WordPress install will be cheaper and faster to ship.
Pricing in 2026
Free: 5 users, 2 locales, 25,000 records, 1M API calls monthly. Lite: $300/month with 20 users, 5 locales and 1M records. Premium: about $1,200/month with 50 users and 2M records. Enterprise is custom and adds SSO, audit logs and dedicated support. Record overages are billed monthly and are not throttled.
Use Cases
- Publishing product documentation to a web app and an in-app help drawer from one content source.
- Running a marketing site in Next.js while marketers edit copy without a deploy.
- Managing localized landing pages for eight markets with shared structure and translated fields.
- Feeding a partner API with structured product specs rather than scraped HTML.
- Running a schema change in a sandbox environment and promoting it after review.
Quick Summary
- Contentful is a headless CMS that exposes structured content via REST and GraphQL APIs instead of rendering pages itself.
- The free tier allows 5 users and 25,000 records; Lite costs about $300/month and Premium about $1,200/month.
- Preview and rendering are developer responsibilities, so plan engineering time before adopting it.
- Best for multi-channel content with in-house front-end developers; overkill for simple brochure sites.
